Invoices
What it is about
The Invoices page is the central management view for Vektori's invoicing, where you can see all invoices saved in the system in a table format. From this page, you can monitor the status of invoices, send invoices, transfer invoices to debt collection, and export invoice data from the system. The Invoices page gathers all customers’ invoices together, so you do not need to go through each customer card separately.
How to get started
The Invoices page can be found in the left-hand navigation menu under Invoices in the Billing section.
What you can do on this page
Browse invoices
Invoices are displayed in a table, with each invoice on its own row. The table columns are:
- Invoice number — the invoice identifier; clicking it opens the invoice details
- Customer — the recipient of the invoice; clicking it opens the customer card
- Amount (excluding VAT) — the invoice amount without VAT
- Amount (incl. VAT) — the invoice amount including VAT
- Outstanding — the unpaid amount
- Invoice date — the date of the invoice
- Due date — the payment due date
- Invoice status — the processing status of the invoice, e.g. Ready for invoicing or Sent
- Billing method — how the invoice is delivered to the customer
- Latest payment reminder — information about the most recently sent payment reminder
View summaries
Below the table, three summary cards are displayed:
- Amount (excluding VAT) — the total amount of all visible invoices without VAT
- Amount (incl. VAT) — the total amount of all visible invoices including VAT
- Outstanding — the total amount of unpaid invoicing
The summary cards update according to filters, so you can easily review the overall invoicing status for, for example, a specific time period or customer.
Invoice-specific actions
On the left-hand side of each row is an action button that opens a menu with the following options:
- Show — opens the invoice details
- Edit — opens the invoice editing view
- Preview — shows a preview of the invoice
- Send — sends the invoice to the customer
- Add payment — records a payment made for the invoice
- Files — displays files attached to the invoice
- Cancel invoice — cancels the invoice
- Delete — deletes the invoice
Create a new invoice
The + Add button in the top right corner opens the form to create a new invoice.
Send invoices
The Send invoices button above the table allows multiple invoices to be sent at once. This function sends all selected or filtered invoices to customers.
Transfer to debt collection
The Transfer to debt collection button moves the selected invoices into the debt collection process.
Export invoices
The Export button enables exporting invoice data from the system. Export options are images in zip format or a CSV file.
Filter invoices
At the top of the page is a comprehensive filter panel, which allows you to limit the displayed invoices based on the following information:
- Invoice number and reference number — search by specific identifiers
- Invoice status and billing method — filter by status or delivery method
- Customer name and customer number — search invoices for a specific customer
- Product name or product code — search invoices containing a specific product
- Invoice date and due date — limit by date range with start and end dates
- Salesperson — filter invoices by a specific salesperson
- Invoice type — filter by invoice type
- Invoice overdue by days — search invoices overdue by a certain number of days
- Payment reminder date and due date — filter based on payment reminders
- Number of sent payment reminders — filter by the number of reminders sent
- Reminder overdue by days — search reminders overdue by a certain number of days
- Dispute status — filter by dispute status
- Invoice outstanding amount — filter by the amount outstanding
- Show per page — select the number of rows displayed at once
Click Filter to apply the filters or Clear to reset selections. The filter panel can be collapsed by hiding additional filters by clicking the Additional filters button.
Edit column visibility
From the hamburger menu in the top left corner of the table, you can select which columns are displayed. Available columns include: ID, invoice number, customer, customer number, amount (excluding VAT), amount (incl. VAT), outstanding, reference number, invoice date, due date, payment term, payment recording date, sending time, invoice status, debt collection stage, dispute status, billing method, number of sent payment reminders, latest payment reminder, salesperson, created and updated.
Tips and notes
- Summary cards and filters work together — by filtering invoices for a particular customer or time period, you can immediately see the total amount and outstanding sum on the summary cards.
- The Send invoices function is an efficient way to send multiple invoices at once — first filter the desired invoices, then send them with one click.
- Invoice status colour codes quickly indicate the invoice situation — you can spot, for example, unsent or overdue invoices at a glance.
- By editing column visibility, you can display exactly the information you need in the table — for example, adding the debt collection stage or sending time can be useful for monitoring invoicing.
