Project Management Settings
What it is about
This page manages the basic settings of Vektor’s project management. You can create project statuses (e.g. in planning, ongoing) and groupings (e.g. internal projects, client projects) that correspond to your company’s working methods, and set defaults for these. With the right settings, you make project tracking and reporting easier.
Getting started
- Go to Settings in the main menu on the left-hand side.
- Select Projects from the settings menu. (Note: the main menu says Projects, the settings page title is Project Management)
- You will see the settings menu, divided into three sections: General, Project Groups and Project Statuses. Open the desired section by clicking its title.
What you can do on this page
1. General
Here you set the defaults that the system will suggest automatically when you create a new project.
- Defaults: Choose the default Project Group and default Project Status (e.g. "In Planning" or "In Tender Phase") from the drop-down menus.
- Remember to press Update at the end to save your changes.
2. Project Groups
Here you create categories that allow you to group and classify projects (e.g. by business area or project type).
- Creating a new group: Click + New Project Group at the top right corner. Give the group a descriptive Name (mandatory) and click Save.
- Edit and delete: Click the pencil icon (drop-down menu) on the left side of the relevant row in the group list and select "Edit" or "Delete".
- Table management: Search for groups using the Filters panel on the right. You can adjust the visibility of columns (e.g. creation date, ID) from the settings icon at the top left corner of the table.
3. Project Statuses
Here you define the different stages of the project lifecycle. The system may already have statuses such as Finished, Cancelled, In Planning and Ongoing, but you can create stages that suit your process.
- Creating a new status: Click + New Project Status at the top right corner. Enter a Name for the status (e.g. "Waiting for materials" or "Billable") and click Save.
- Edit and delete: Managing, editing and deleting in the list view works exactly the same way as with Project Groups (pencil icon on the left).
Tips and notes
- Correct order of work: When you start using project management, begin by creating the Project Groups and Project Statuses you need. Only then proceed to the General section to set defaults so that the options you created are available in the drop-down menus.
- Statuses support reporting: Clear project statuses help you understand at a glance what stage the company’s project portfolio is at. Keep the statuses simple so that all employees understand what each status means.
- Make use of groups: Using project groups is very useful later in the reporting phase. You can easily filter reports to show, for example, only the profitability of projects from a certain department or a certain type of service.
