Invoice – Single Invoice View
What it is about
The single invoice view gathers all information related to the invoice — the invoice content, status details, payments, timeline, and comments. From here, you can send the invoice, record a payment, copy the invoice, create a credit note, and follow the entire lifecycle of the invoice.
Getting started
- Go to Invoices in the left-hand menu.
- Click the number of the desired invoice from the list — the invoice view will open.
What you can do on this page
Read the invoice details
The main part of the page displays the official invoice document, showing the sender's and recipient's details, invoice number, reference number, invoice date, due date, payment terms, invoiced products or services, as well as amounts broken down into tax-exempt price, VAT, and total taxable amount.
View status information
The right-hand side of the page shows the invoice status information:
- Billing status — the processing status of the invoice, e.g. Sent or Ready for Billing
- Delay days — how many days the invoice is overdue
- Amount (incl. VAT) — the total amount of the invoice
- Payments — the amount paid
- Discount — any applicable discount
- Outstanding amount (incl. VAT) — the unpaid amount
View the invoice timeline
Below the status information is the Invoice timeline, which displays the key events of the invoice with dates — invoice date, due date, and the sending times of any payment reminders. The timeline provides a quick overview of the invoice history.
View additional information
Below the timeline, additional invoice information is displayed: invoice source, creation time, sending time, delivery method, delivery terms, seller, default interest, notice period, invoice template, and reminder template.
Send the invoice
The Send button sends the invoice to the customer according to the billing method. If the invoice has been sent previously, the system will request confirmation before re-sending and display the billing method and recipient's email address.
Edit the invoice
The Edit button opens the invoice editing form. In the editing view, you can also change the invoice status using status buttons: Draft, Ready for Billing, Sent, Partially Paid, or Paid.
Copy the invoice
The Copy button opens a menu with two options:
- Copy as credit note — creates a credit note from the invoice
- Copy as new invoice — creates a copy of the invoice that can be used as a template for a new invoice
Preview the invoice
The Preview button opens a printable preview of the invoice, which you can download as a PDF or print.
Additional functions
The three-dot menu in the top right corner opens additional functions:
- Send by email — sends the invoice via email
- Add payment — records a payment for the invoice
- Record bad debt — records the invoice as a bad debt
- Cancel invoice — cancels the invoice
- Add payment term — adds an extension to the payment term of the invoice
- Set to liquidation — moves the invoice to liquidation status
- Send reminder — sends a payment reminder to the customer
- Send to collection — sends the invoice to the debt collection process
- Cancel collection — cancels the collection actions
- Delete — deletes the invoice
Tabs
At the top of the invoice are tabs for additional information:
- Details — basic invoice information and document
- Timeline — events related to the invoice in chronological order
- Payments — recorded payments
- Files — files attached to the invoice
- Messages — messages related to the invoice
- Log — changes and actions made to the invoice
Go to customer
The billing customer is shown on the right side along with the Go to customer button, which takes you directly to the customer's details.
Comment
At the bottom of the page is the Comments section for internal notes. Write a comment in the field and click Comment.
Tips and notes
- The invoice timeline on the right provides a quick glance at the invoice status and when payment reminders were sent — a useful tool when monitoring overdue invoices.
- The copy as new invoice function saves time in recurring billing — you can copy a previous invoice as a template and only change the necessary details.
- The add payment function should always be used when a customer pays an invoice — it updates the outstanding amount and keeps the billing status current.
- The status buttons in the editing view allow manual changing of the invoice status — useful, for example, when a payment has arrived but has not yet been recorded as a payment in the system.
