Recurring Billing – View
What it is about
The recurring billing view displays all the details of a single recurring billing: customer information, invoice contents, one-time rows, and the schedule of upcoming invoices. From here, you can also create an invoice manually or proceed to edit the billing.
How to get started
Navigate to Recurring Billings under the Billing section in the left-hand navigation menu. Click the name or row of the desired recurring billing to open its view.
What you can do on this page
Basic information
On the right-hand side of the page, there is a basic information panel where you can see the status of the billing at a glance:
- Status — the billing status, e.g. Active (displayed in green)
- Subject — the name of the billing, e.g. "IT maintenance"
- Start date — when the recurring billing begins
- End date — when the recurring billing ends
- Last invoice — when the last invoice was created
- Next invoice — when the next invoice will be created automatically
- Billing cycle — e.g. 1 month
- Invoice timing — e.g. At the start of the period
- Created — when the recurring billing was created in the system
Customer
The customer section shows the details of the customer to be invoiced:
- Customer name, contact person (Name 2), address, postcode, city, and phone number
- Billing method, customer ID, country, and email address
Invoice
The invoice section displays general information pertaining to the invoices:
- Order number, Payment terms (e.g. 14 days net), Additional information for the invoice
- Our reference and Your reference
Below is a table showing the invoice’s recurring rows with columns: Product code, Product name, Quantity, Unit price, VAT %, Discount %, Total and Total (incl. VAT). Under the table, a summary is displayed: price excluding VAT, VAT amount, and total price including VAT.
One-time rows
The one-time rows section shows the products or services that will be invoiced only once in the next automatically created invoice. The table contains the same columns as the recurring rows: Product code, Product name, Quantity, Unit price, VAT %, Discount %, Total and Total (incl. VAT).
Once the next invoice has been created, the one-time rows are removed automatically.
Upcoming invoices
The upcoming invoices section shows a table of all upcoming invoices until the end of the billing cycle. The table columns are:
- Invoice date — the date the invoice will be created
- Due date — the invoice due date
- Billing cycle — the period covered by the invoice
- Amount — the invoice amount in euros
The amount in the first row may differ from the others if one-time rows have been added.
Customer details
On the right-hand panel, the Delivery customer field and the Go to customer button are visible, allowing you to access the customer’s details directly.
Comments
In the right-hand panel there is a comment field where you can write internal notes related to the recurring billing. The comment is saved with the Comment button. Comments are visible only to system users, not to the customer.
Actions
In the top right corner of the page, there are two buttons:
- Create invoice — creates an invoice immediately regardless of the schedule, for example in advance or for an additional billing need
- Edit — opens the recurring billing edit view where you can change all details
Tips and notes
- The Create invoice button is useful when you need an extra billing run or want to invoice in advance, deviating from the normal schedule.
- The Upcoming invoices table shows the effect of one-time rows — the amount of the first invoice is higher if one-time rows have been added.
- The Status field tells you at a glance whether the billing is active. If billing needs to be temporarily paused, it is advisable to change it to Passive in the edit view.
- The Comment field is handy for storing contract references, customer notes, or internal memos.
